RefWorks Citation Manager (RCM)

RefWorks Citation Manager (RCM) can help you insert and manage references within a Word document.

RCM is essentially a streamlined version of RefWorks you can open within MS Word, and lets you insert citations as you write, and generate reference lists based on anything you've added.

RCM offers limited options for editing and organising references, and it does not allow you to import references, so you will still need to use the web version of RefWorks to get the most out of this tool. RCM is only compatible with Word 2016 or later. Earlier versions of Word are not compatible.

Users are strongly advised to take care when using third party software such as RCM for their work or study. Please bear in mind that RCM functions can be affected by the presence and of other Word add-ons, including Turnitin Draft Coach.


Install RCM

  • If accessing Word through Microsoft 365 (M365) using your RGU login details, you should have access to RCM already. Open any Word document and look out for the 'RCM' add-on in the toolbar. The add-on may take a few extra moments to load after the document is loaded.
  • If using a personal device, you can install RCM to your version of Word directly from Microsoft AppSource. Click 'Get it now' to begin the installation process.

Open RCM and login

  • Once installed, click the 'RCM' add-on in your version of Word.
  • This will display a 'RefWorks Citation Manager' link on your Toolbar. Click this to open the RCM sidebar.
  • The RCM sidebar will default to the RefWorks login page. Login by entering the credentials you set at account creation in the email and password boxes provided, and clicking 'Log in'. Do not use the 'Login from my institution' option.

Navigating RCM functions

Once logged into RCM, your default view is the 'My References' menu.

  1. Hamburger menu (≡): Opens the RCM menu that provides options to change citation style, refresh inserted references, and toggle bibliography on and off.
  2. Change citation style: You can change citation style by clicking on the citation style displayed, then selecting your desired style from the drop-down menu.
  3. Select folder: By default RCM will display 'All references' in your RefWorks library. You can select a folder from this drop-down list to view only the references within that folder.
  4. Sort references: By default your references are arranged in date order. You can change the display order of references within RCM by selecting options from the available filters.
  5. Search box: You can search for RefWorks references within RCM using the search box provided.
  6. Refresh: You can refresh any reference list you have inserted using the icon at the bottom-right of the RCM sidebar.

Inserting Citations

  • In your Word document, move your text cursor to where you want to insert the citation by clicking the left mouse button in the desired location.
  • In the RCM sidebar, find the reference you wish to insert, and click the cite (") button that appears when you hover your mouse cursor over it. This should cause a citation to appear within your Word document.
  • You can insert cluster citations containing multiple sources by selecting multiple references using the checkboxes to the left of the reference, then selecting 'Insert Citation' within the submenu that appears.

Editing Citations

  • Once you have inserted a citation, you have the option to customise it. Clicking any citation you have inserted with RCM open will open the 'Edit reference' menu. Please note: simply changing the text in the citation box in Word will not change the citation formatting. The citation will revert to its previous form when refreshing the references in your document. All citations must be edited using the 'Edit References' menu only.
  • You can also see all citations you have added using RCM by selecting the 'My Citations' tab and clicking the pencil icon that appears next to any citation that you hover your mouse cursor over.
  • In the 'Edit Reference' menu, You can choose from a number of options to customise the look of the citation:
  • We recommend avoiding the Page number(s) option for inserting page numbers if using RGU recommended referencing styles, and use the 'suffix' option explained below instead. Otherwise, you can use this option to add page numbers to the citation.
  • Display as Author(year) changes the citation format to display a narrative citation, instead of a parenthetical citation. This option only affects author-date citation styles.
  • Include author and Include date are selected by default. You can deselect either option to remove the respective elements from your citations. This only affects author-date citation styles.
  • The Add prefix/suffix boxes can add text either before he author, or after the date, of your author-date citations. The suffix box is especially useful when adding page numbers to citations for quotes in Cite Them Right Harvard.
  • Clicking Add reference(s) to this citation allows you to select additional sources to add to the citation.
  • Once you have completed any required changes, scroll down on the RCM sidebar and click Update Citation. You can select Delete Citation if you wish to delete the citation from your document instead.

Generating bibliographies/reference lists

  • provided you have used the options above to add citations using RCM, adding a bibliography/reference list to your document is straightforward.
  • In RCM, select the Hamburger menu (≡) at the top-left of the sidebar and you will see a toggle option for Bibliography. In most cases, this will be set to 'Off' by default.
  • Clicking the Toggle to 'On' causes RCM to add a bibliography/reference list at the end of your document. This list contains only references inserted using RCM, and uses only the current citation style you have selected within RCM.
  • If you notice any errors in the bibliography entries, you cannot edit these using RCM, or by editing the text in the text box provided. You must edit the reference using the reference editor in RefWorks. Once this is done, you can use any of the 'refresh' options in RCM to update your references.
  • Documents with larger reference lists may experience performance slowdown when editing a Word document with the Bibliography toggle turned to 'On'. To avoid this, we recommend turning the toggle to 'Off' until the list is needed once the document is fully written.

RefWorks and Turnitin Draft Coach

Be careful when using RCM and Turnitin Draft Coach simultaneously. If you insert citations and references using RCM, then proceed to run Draft Coach, this will turn your RCM citations and references to plain text, making them uneditable in RCM. At present, there is no way to prevent this happening, so any loss of RCM functionality for references is permanent. We advise you take the following approaches if planning to use both of these programs:

  • Finish inserting all of your citations and references before opening Draft Coach.
  • Create backups of draft files for the purposes of running Draft Coach features as you write.
  • Regularly backup and save copies of your work to avoid data loss.

Users are advised to treat any third party software used for their work or studies with caution.
