Sharing References

You can share your references with other people. Some share options allow you to share with anyone, others require the person/people you share with to have a RefWorks account.

You can choose whether to share a folder, which shares all the references in that folder, or share an entire project, which gives collaborators access to multiple folders and functions.


Sharing folders

  • Click More options (⋮) next to the name of a folder in the 'My Folders' section of RefWorks, then select 'Share'.
  • In the Sharing settings menu, you can choose to change the sharing settings for your folder: either open it up for all RGU RefWorks users to access, or choose to share it with a select number of email addresses. We strongly recommend choosing the second option, as you get to have more control over who can access your research material. Choosing the 'organization' share option makes the folder visible to anyone with an RGU RefWorks account, and they can can access the folder by opting to join within the 'Folders at Robert Gordon University' option in the Share section of their RefWorks library.
  • If you simply wish other people to see the contents of a RefWorks folder, you can use the 'Public URL' option to generate a link that anyone can use to access the contents of the folder. Recipients do not need to have a RefWorks account to access the contents of a folder using this link, but it does not allow users to edit or contribute content to a folder.
  • The invite box allows you to choose select email addresses to share your folder with. This option only works if users you invite have a RefWorks account already. You can choose the 'Can read' option to allow users to simply view the folder contents, 'Can annotate' allows users to add annotations to folder contents, and 'Can modify' allows users full access to add to and edit the contents of a folder.
  • Once you have made any desired changes, click 'Done' to confirm.
  • When you've shared a folder, the icons for the references and folder within RefWorks will include the 'Shared' icon to indicate the folders and references that others can access.
  • You can remove access to shared folders by re-entering the sharing settings and removing users from the list of existing shared users.
  • RefWorks users you share folders with can view them within the 'Share' menu from their own RefWorks library.

Sharing Projects

  • Click the arrow next to your current project and select 'Share this Project' to share your current project.
  • You can also access the 'Manage Projects' menu to share projects that other than your current one. You can select this share option from the 'Actions' drop-down menu.
  • Share options for projects are slightly limited compared to folders - you cannot generate a public URL, nor can you share the project with your organization. Share recipients must also have a RefWorks account to access a shared project (though not necessarily an RGU one).
  • Enter the email addresses of your intended collaborators in the box provided separated by commas or semicolons, then click 'Done' when ready.
  • Anyone you invite will receive an email from which they will be able to view the shared project.
